Once your application is approved, you will be invoiced for the amount due. If the application is more than four months in advance of the event start date, then you will be asked for a deposit, of which £100 is non-refundable. If you chose on your application form to pay the full amount up front, then we will invoice you for that amount. If your application is within four months then you will be invoiced for the full amount for the event. If you have paid a deposit, four months before the event date you will be invoiced for the balance which must be paid within 30 days.
Recognising the large administrative overhead of dealing with employers, we will be adding a £50 surcharge if the employer is paying directly; where possible we would advise applicants to pay themselves and reclaim on expenses to avoid the charge. Please note: the employer rate does not offer a deposit option and the full amount must be paid up front. We will be applying this to all our offerings with effect from September 2020.
Once an invoice has been raised, the place is dependent on prompt payment. If our invoice is not paid on time, the place will be released for other participants on the waiting list. This process reduces last minute cancellations, ensures that invoices are not raised then left unpaid and that all places are allocated. So that you do not lose your place due to financial issues, we advise that if your employer is paying you communicate with them to make payment within the time frame detailed on the invoice.
Responsibility for payment remains with the attendee.
You may withdraw your application up to three months prior to the event commencement date at which point you will be offered a refund, minus a £100 administration fee. Alternatively you may wish to credit the amount you have paid, minus a £100 administration fee, against a future event.
If you cancel your place within three months of the event commencement date, no refund will be offered unless we are able to reallocate your place to someone on the waiting list, in which case we will offer to credit the amount you have paid, minus a £100 administration fee, against a future event within 18 months.
If the reason for cancelling within three months is through ill health or similar, we will consider crediting the amount you have paid, minus any costs that we have incurred and a £100 administration fee, against a future event within 18 months. We will require evidence of the reason for cancellation, and the decision will be at our discretion.
In the unlikely event that, due to unforeseen circumstances, the event has to be cancelled by us, we will refund any fees paid to us by participants. Our liability is limited to refunding only our event fees, and not any additional costs you may have incurred.
We strongly recommend participants have adequate insurance to cover any cancelled travel or personal expenses, as we cannot make reimbursements over and above our cancellation policy.
